Hours: Monday - Friday (8 AM - 5 PM PST)

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to the CEO to serve as a trusted partner in managing the day-to-day operations of the executive office. This role requires exceptional judgment, discretion, and the ability to anticipate needs in a fast-paced, client-facing advertising agency environment.
The ideal candidate is resourceful, responsive, and comfortable managing competing priorities while maintaining professionalism and confidentiality. This individual will play a critical role in keeping the CEO focused on strategic priorities by ensuring communication, scheduling, travel, and operational logistics run smoothly.
This position may require occasional travel, including attending trade shows and supporting executive meetings and client engagements.
Manage and prioritize the CEO’s inbox, ensuring timely responses and appropriate escalation of urgent matters
Draft and respond to emails on behalf of the CEO with professionalism and sound judgment
Identify and flag high-priority communications requiring immediate attention
Maintain strict confidentiality when handling sensitive business and personnel matters
Coordinate and manage the CEO’s calendar, including scheduling internal and external meetings across multiple time zones
Prepare meeting agendas, materials, and background information
Join meetings to capture detailed notes, track action items, and ensure follow-through
Arrange domestic and international travel, including flights, hotels, ground transportation, and itineraries for CEO and other executives
Manage office supply inventory and coordinate purchasing as needed
Coordinate and process payments, invoices, and expense submissions
Assist with occasional personal errands and administrative tasks for the CEO
5+ years of experience supporting a senior executive, founder, or CEO
Exceptional organizational and time management skills
Strong written communication skills with the ability to draft professional correspondence
Proven ability to manage competing priorities in a fast-paced environment
High level of discretion and professionalism when handling confidential information
Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, Slides)
Ability to work independently and anticipate needs
Startup or advertising agency experience preferred
